Job Description

The Administration officer is responsible for overseeing the day to day running of the administrative functions of the charity, including but not limited to;

  • Answering the phone, letters, emails and dealing with members of the public who come to visit.  Handling enquiries and passing on information to the relevant person
  • Organising the logistics and regulatory issues involved in sending containers of aid overseas
  • Liaising between the organisations’ leadership and overseas partners regarding aid shipments
  • Co-ordinating the collection of items from hospitals, care homes and private individuals
  • Listing and pricing items that are sent abroad
  • Supporting and communicating with volunteers
  • Organising events and co-ordinating with staff and volunteers to ensure that these are successful
  • Publicising the activities of the charity, including social media posts, contact with the media, supporters and the public
  • Providing administrative support for fund raising activities and events
  • Liaising with the charity shop

To fulfil this role, we expect you to exhibit the following characteristics;

  • An ability to focus, prioritise and change plans as more urgent requirements come along
  • Good with people, including answering questions, communicating tasks, sorting out difficulties and working with others
  • Able to multi-task, handle stress, cope with constant interruptions and meet deadlines
  • Able to take initiative, work by yourself and manage your own time-table whilst also being happy to work with others and to both lead others and also to follow directives from the organisation’s leadership
  • Competent level of I.T. skills with a minimum requirement of a good working knowledge of Microsoft Word, Excel, an ability to search and buy items over the internet and to do emails.
  • One of Jacob’s Well’s aims is to promote the Christian faith.  An engagement with Christian faith is preferred though not an absolute requirement.  However,  we expect all employees and staff to behave in a manner that is appropriate for a Christian charity, including exhibiting the Christian values of honesty, commitment to work, treating others with respect and a caring attitude towards all those that you deal with.

Place & hours of work

You will be contracted to work 21 hours at Jacob’s Well office, Swinemoor Lane, Beverley HU17 0JX

Currently Mon, Tue & Thur 9am til 4pm.  There is some flexibility about days and times

Rate of pay

The rate of pay is set at the “Real Living Wage” (different from the minimum wage), currently £10.90, and reviewed each year in November.
